1. What is the current system for your fictional healthcare organization?
The current system for our fictional healthcare organization is a paper-based record-keeping system. Our medical staff records patients’ data on paper, maintains patient files, and retrieves those files from the record room when required. Our medical staff and billing team manually manage patient data, which is prone to errors and delays. We do not have any information technology (IT) infrastructure to support our medical staff and store patient data electronically.
2. What problems do you have with the current system? Where do its weaknesses lie?
Our current system has several problems. First, our record-keeping system is error-prone and lacks data accuracy. Second, our system is time-consuming, which impacts our medical staff’s productivity. Third, our system is not secure as patient files can be misplaced easily or accessed by unauthorized personnel. Lastly, our system lacks scalability and cannot support the growing needs of our organization.
3. What changes will the implementation of a new system yield, and how will they impact the working of the organization?
The implementation of a new system will bring significant changes to our organization. We will transition from a paper-based to an electronic record-keeping system. The electronic system will ensure data accuracy, faster processing times, improved coordination between the medical and billing staff, and scalable performance. The electronic system will allow the staff to access patient files remotely, thus increasing productivity. Additionally, the electronic system will reduce the time required to store, search, and retrieve patient data, freeing up resources to focus on delivering quality patient care. The implementation of a new system will also enhance data security and reduce the risk of unauthorized access to patient records.
4. Would you like to extend the existing system or replace it?
Given the limitations and weaknesses of our current system, we would like to replace it with a robust IT infrastructure that can support our growing organization’s needs. 5. What is your phase-out plan for the existing system?
